Role Overview:
Are you a payroll professional who thrives in a detail-driven environment and values a strong, people-centered workplace culture? Our client, Located in Carpentersville, IL is looking for a Payroll Specialist to take full ownership of our multi-state payroll process for a workforce of over 500 employees. This is a hands-on role in a stable, privately held manufacturing company known for its durable, high-performance products used in critical applications across industries like aviation, medical, public safety, and defense. You will be responsible for managing the entire payroll lifecycle, ensuring accuracy, compliance, and timeliness in weekly and biweekly payroll processing across multiple states. In partnership with our managed payroll provider, you’ll also collaborate closely with internal stakeholders including accounting and HR.
Key Responsibilities:
- Process weekly (hourly) and biweekly (salaried) payrolls
- Review and ensure accuracy of timecards
- Prepare and distribute payroll reports (weekly, monthly, annual, ad hoc)
- Handle payroll tax balancing and submissions
- Partner with payroll provider (ADP, transitioning to UKG)
- Administer garnishments, deductions, bonuses, profit sharing, and 401(k) contributions
- Maintain state/local tax jurisdictions, SUI rates, and GTL tracking
- Prepare reports for EEO-1, Illinois Equal Pay Act, 401(k) audits, and benefits census
- Manage vacation proration, payroll scheduling, holiday schedules, and salary carryover
- Ensure compliance with internal policies and government regulations
- Continuously improve payroll processes and documentation
Qualifications:
- Minimum 5 years of full-cycle payroll experience (must include experience processing 400+ employees)
- Solid knowledge of ADP Workforce Now or UKG (other major platforms acceptable)
- Experience with multi-state payroll
- Strong attention to detail, accountability, and confidentiality
- High level of accuracy and time management skills
- Ability to work independently and own the payroll process
- Proficiency in Microsoft Excel (intermediate level or higher)
- Strong problem-solving, communication, and interpersonal skills
- Bachelor’s degree is a plus, but not required
